Which tool to use first depending on what you need to do, and in what order to learn them, no jargon.

If you've never used AI at work, the problem is almost never "which tool is best". The problem is not knowing where to start. This kit sorts that out: what to use depending on the type of task, and in what sequence to learn it so it doesn't feel like one more pending project.

Choose based on what you need to do

To write and communicate

Drafting emails, messages, first versions of documents or posts.

Tool: ChatGPT or Claude.

How to start: ask for a draft with the message's context (who it's for, what you want to achieve) and edit it yourself before sending. The AI writes the first attempt, you set the final judgment.

To research and summarize

Reading long documents, comparing information, understanding a topic fast.

Tool: Claude or Gemini.

How to start: paste the text or upload the document and ask for something simple: "summarize this in 5 points" or "explain this like I know nothing about the topic".

To organize your work

Structuring notes, prioritizing tasks, planning the week.

Tool: Notion AI, or Claude itself in a conversation.

How to start: describe your week in one paragraph (what you have to do, by when) and ask it to help you sort it by priority. We have a full guide on this in Plan your week with Claude.

For more technical tasks

Spreadsheet formulas, simple automations, first steps with code.

Tool: Claude or ChatGPT.

How to start: describe the problem in plain language, not code. For example: "I need a formula that sums this column only if the other one says 'approved'". The AI translates that into the formula or the steps.

The order to learn them in

Don't try to use everything at once. This order works better because each step builds confidence for the next.

  1. Start with simple conversation. Ask it everyday questions, like a colleague you think out loud with.
  2. Try uploading a document. A contract, a report, a long email. Ask it to summarize or explain it.
  3. Ask for a full task. A real email draft, not an example. Edit it and compare it to what you would have written.
  4. Build it into your routine. A fixed moment of the day (checking email, planning the week) where you always use it first.
Note: you don't need the paid version to start. The free versions of ChatGPT, Claude, and Gemini are enough for everything described above.
